• Email Information: Used for automated communications via Microsoft Outlook API. The contents are processed but not stored. We do store the AI generations which stem from the contents and identification data like message id, sender, subject, date and time.
• User Interactions: Data transmitted to Google, Anthropic, OpenAI and Perplexity's AI models to enhance service functionality.
• AI Generations: AI generations are stored for reference and analysis.
• We Will Not: store any personal information beyond what is necessary for the purposes outlined in this policy.

2. How We Use Your Data

We process your information solely for the following purposes:

• To provide and improve product and services.
• To integrate AI-enhanced data processing via external partners (Google, Anthropic, OpenAI and Perplexity).
• To ensure compliance with legal and regulatory requirements.

3. Data Security & Encryption

• Data in transit is secured with TLS encryption.
• We implement strict access controls and continuous monitoring to enhance security.
• Email access tokens are encrypted using industry standards to prevent unauthorized access in any worsed case scenario.

4. Third-Party Sharing

We do not sell user data. However, some information may be shared with:

• Microsoft (for automated email services).
• Google, Anthropic, OpenAI and Perplexity AI models (to process select data securely).

5. User Rights & Consent

You have the right to:

• Access & Modify Data: Request copies of your stored information.
• Opt-Out: Choose not to have your data processed by third-party AI services.
• Data Deletion: Request permanent deletion of your personal data.
• Users can revoke Flobair's access at any time through Microsoft 365 at https://account.live.com/consent/Manage

We comply with all applicable data protection laws, including but not limited to:

• General Data Protection Regulation (GDPR)
• California Consumer Privacy Act (CCPA)

7. Changes to This Policy
